What does a no-show really cost?

Start with your own booking data. Divide missed appointments by all scheduled appointments, then multiply by 100 to find your no-show rate. Use the same period for both figures.

Monthly revenue at risk =
appointments × no-show rate × unfilled share × average value

In the example, 200 appointments × 10% × 100% unfilled × $60 = $1,200. Moving the no-show rate from 10% to 5%, with the other assumptions unchanged, reduces that exposure by $600.

Good questions.

How do I calculate my appointment no-show rate?

Divide no-shows by scheduled appointments over the same period and multiply by 100. For example, 20 missed appointments out of 200 gives a 10% no-show rate.

Does this calculator estimate lost profit?

No. It estimates appointment sales value at risk. Profit also depends on labor, materials, overhead, retained deposits and other costs. A missed booking does not necessarily cause all of its price to become a cash loss.

How should I count cancellations and refilled slots?

Use a consistent definition. You can include late cancellations that left a slot empty, but do not count the same appointment twice. The refill percentage removes the share of missed appointments that another customer filled.

How much will reminders or deposits reduce my no-show rate?

There is no universal guaranteed reduction. Enter a target you want to explore, then measure reminders, deposits or policy changes against your own booking history.
