# How to Handle Complex Booking Scenarios on Shopify

## The short answer

Write each availability rule in plain English, identify the resource it protects, and test conflicting reservations. A calendar alone does not prove a booking setup is correct.

## Start with constraints, not app features
Complexity usually comes from several simple rules interacting. A workshop needs one instructor, one room and eight seats. A rental needs one item for several days and a turnaround period. A consultation may require a qualified specialist in the customer's preferred language.

Write those rules before configuring the software. “One kayak cannot be rented twice during an overlapping period” is testable. “Flexible booking” is not.

## Create an availability map

Identify the system that owns each rule. Product inventory, staff calendars and booking capacity do not always share the same meaning. A stock quantity of five products does not automatically create five reservable resources across every date range.

## Separate duration, buffers and business hours
A 60-minute appointment with a 15-minute cleanup period occupies more availability than the customer-facing hour. Define the difference explicitly. Also check whether a buffer may extend beyond closing time, and whether staff breaks are represented as unavailable periods.

For multi-day services, specify whether the end date is an occupied day or the return boundary. Test a reservation ending on the date another begins. This one example catches many assumptions that look correct in a monthly calendar.

## Test combinations that should fail
Build a short acceptance sheet before inviting real customers:

1. Two customers request the last available seat.
2. A staff member gets an external calendar conflict.
3. A service requests equipment already used by another service.
4. A customer reschedules into a buffer period.
5. A rental spans a closed day or a daylight-saving change.
6. A booking is canceled and the expected capacity returns.

Record the expected result and the actual result. Ask support about a failed rule before building a manual workaround. Manual overrides may be appropriate, but your team needs to understand their consequences.

## Choose the app around the hardest rule

After launch, review exceptions weekly. Repeated manual corrections are a signal that a rule is missing or that the software model does not match the business.
