Evaluate features as complete customer and staff workflows. A checkmark for “calendar sync” or “deposits” is only the beginning of the buying decision.

## Availability comes first
The booking engine must prevent the conflicts your business cannot accept. List the resources each service requires: a person, room, item, location or number of participant places. Check working hours, holidays, buffers and minimum notice.

Ask whether several required resources can be reserved together. An instructor and a room must both be free for the same session. For rentals, the system needs to protect the entire occupied date range, not just the pickup time.

## Follow the money through a change
Make a test payment, then cancel or move the booking. Verify the reservation status and Shopify order separately. If you use a deposit, check who collects the remaining amount and when. A feature named “partial payment” does not answer every operational question.

For subscriptions or bundles, include transaction-based charges in the comparison. For SMS, estimate message volume rather than comparing only the app subscription. Your true monthly budget includes the Shopify plan, relevant app tier and applicable usage costs.

## Inspect the customer experience on a phone
A booking widget should explain the selected service, date, time and time zone without forcing the customer to guess. Check text size, keyboard access, error messages and the transition into checkout. Test with a long service name and a narrow screen.

Look for clear loading and unavailable states. A calendar that appears empty should say why, or provide an alternative, rather than looking broken.

## Make staff access part of the evaluation
Ask the person who handles tomorrow's schedule to complete three tasks: find an appointment, move it, and explain its payment status. If they need access to the entire Shopify admin for a limited operational role, review whether that fits your permissions policy.

Confirm export options and the process for leaving the app. A good evaluation includes how future bookings, customer records and recurring commitments would be preserved during a switch.

## Score the requirements that matter
Divide requirements into essential, useful and optional. Reject an app that cannot enforce an essential availability rule even if its feature list is long. Among the remaining options, choose based on usability, total cost and support for your specific workflow.
